About the Job

We are seeking an Assistant to the Chief of Staff who will be responsible for supporting the Chief of Staff in the management and execution of strategic priorities for the office of the CEO and provide administrative support to the Chief of Staff to ensure the effective and timely management of various strategic documents and reports related records, programs, projects and services.

The ideal candidate will have the acumen to handle complex situations and multiple responsibilities simultaneously, mixing long-term projects with the urgency of immediate operational demands.

Must have demonstrated the ability to deal with highly confidential information and act as a liaison between the Chief of Staff and other constituencies, both internal and external.

Must have the ability to build strong and sustainable relationships and the capability to interact within all levels of the organization. The ideal candidate must also be able to work effectively in a fast paced and project-driven environment with constantly changing requirements. You will require energy, excellent engagement skills.

Job Description

Responsibilities

  • Supports the Chief of Staff (COS) in planning, directing, managing and coordinating day-to-day business activities, and strategy related projects.
  • Assists in maintaining the strategic plan, organises and arranges strategy sessions.

· Supports the COS in Setting comprehensive goals for performance and growth

  • Based on expertise and experience, advises and supports COS in identification and implementation of innovative solutions to issues arising within the organization.

· Assists the COS in significantly improving the overall business acumen and governance (performance metrics), operational, organizational, project/delivery, and financials.

· Provide support to the COS in expansion activities (investments, acquisitions, corporate alliances etc.) and budget input process.

  • Contributes to thought leadership initiatives and shares knowledge and expertise with partners, vendors, colleagues and teams.
  • Monitors planning, delivery by team and provides guidance on the distribution of resources in line with strategy and management expectations.

· Partner with the leadership team to define, prepare and communicate Global organization plans, including quarterly, annual development plans.

  • Builds strong professional relationships across delegated service line/s to understand business needs in area of responsibility
  • Manages complex risk issues within sphere of responsibility ensuring issues are rectified timeously.

Minimum Qualifications

· Bachelor’s Degree in Business Management, Administration or related discipline.

· Have a minimum of five (5) years of relevant and practical experience, in an executive office as an Executive Assistant, Assistant Chief of Staff or in a support function.

· MS Excel and Google Spreadsheets (Budget prep/forecasting for projects)

· MS PowerPoint, MS Word (Report formatting, alignment, referencing and all the works)
